Checklist

See if your letter meets requirements

1. Your business letter is typed

2. Your business letter is printed on a good quality printer , you use standard office paper A4 , it is white.

3. If you are sending it by e-mail, you have attached the letter to the message. The message includes the subject and a couple of lines telling who is sending it, what about , and what is attached.

4. Your letter is 1-2 page long. If this is a problem, you should send a one-page letter with some attachment to it.

5. Your letter layout follows requirements of a particular style.

6. If this is Block style:

- there is no punctuation in the addresses,

- there is no punctuation in the date,

- there are no spaces at the start of paragraphs, paragraphs start from the margin,

7. You use one line as a space between blocks and paragraphs,

8. Your address is typed in the right order starting with the organization, coming down to the country

9. You have typed the zip (postal) codes in the address

10. You wrote the month in a word, with the capital first letter (like March, May), and wrote the year in a four figure number (2004)

11. The greeting and the closing match each other (see Greetings if not clear)

12. If you know the person's name, you use it in the address and in the greeting,

13. You have signed your letter.

14. The Body consists of at least 3 paragraphs

15. Your letter answers 3 questions: Why, What, What's next? For each answer there is a separate paragraph (may be more).

16. You are positive even in difficult, awkward, unsettled situations (sending bad news, apologizing or complaining).

17. You start each paragraph neutrally. Avoid starting them with the same pronoun or another word. "You" tone is much more efficient that "I" or "We" tone.

18. You are proofreading your letter twice: before you print it, and then again before you put it into the envelope.

19. You are going to use a standard business envelope

20. If you are greeting the person by the title and the last name, you have typed your title and last name correspondingly. If you address by the first name, you type only your first name.

21. The address and telephones that you are using and your own address and telephone (fax / email / web address) are valid.

22. If you are going to send your letter to the tutor of the course, please be sure that you have registered and received the confirmation.

23. When sending correspondence to the course tutor you should type "Business Letters # (class code)" in the Subject line of the email

If you are satisfied with all your answers, please continue.

If you have identified mistakes, please correct them before you send your letter. Look through the course materials for details.

Quiz 1

Write letters for the following situation. Remember that you must invent the addressee's address and include your return address, and that you must check your letter before you send it to your tutor.

Write to the publisher of "Qwerty" magazine inquiring why you have not received the last two issues of the publication. Your annual subscription still has five months to go, and you have the receipt from your last payment.

Quiz 2

IYou are planning a trip to Europe this summer and you are thinking of taking a touring holiday in Europe . A friend has given you the address of EUROPA TOURS - a French travel agency to write to. It is located in Paris in Eiffel Avenue , building 1, office 74. You would like to know what they can offer. You also need to know about prices, the type of transport, accommodation and any discount that may be available.

In your letter you should introduce yourself and explain the following: your age, your school or company, your language skills, your wish to travel alone or with others (if with others, tell who they will be), your contact e-mail address. You should also ask to send you all the application forms and give you the agency's web site address.

Quiz 3

In Quiz 1 you wrote a letter to a publisher. Assume now that you are the publisher on the receiving end and must respond to the letter.

Write your answer, thanking for the letter, apologizing for the inconvenience and attaching the two issues.

 

 

Quiz 4

Check your letters written in Quizes-3 for their tone. If they are writer-centered, rewrite them to make them reader-centered. To do so, keep in mind your reader's needs and interests. For example, instead of writing "We wish to remind you.." write "You should note, that..."; instead of "We are enclosing..." write "You will find enclosed..."; instead of "I wish to point out..." write "You will be interested to know..."
