Addresses

 

The first two blocks of information which you will write or type are the addresses. Please remember: in Block style:

•  the name and the address of the addressee (the person and company you are writing to) are at the top on the left;

•  there is no punctuation in the addresses;

The inside address always starts with the name of the addressee, below which there comes his/her title, company name, the office number, the building number, the street, the city, the zip(postal) code, the province, the country (state).

Please be sure that each line starts from the margin, like in the example given below:

title and name 
his/her position 
company name 
office number building number street 
city     zip(postal) code 
province 
country (state) 

Your (return ) address follows the same scheme, but there is no need in giving your name in it, as the letter will be signed by you, and your name will be given at the bottom of the page.

If you are using company stationery, the address is printed in the letterhead. Letterhead is what makes a piece of A4 paper formal. You need to add only the date and the reference. A letterhead talks volumes (albeit in silence). It says who you are, who your company is, whether you are professional or sloppy, so it tells the potential customers who they are dealing with. If it looks professional and clean it says, "I do care". In this case your letter will be read.

If you are not using the company letterhead the return (outgoing) address is usually positioned just to the right of the middle of your page. Always remember: check that the address is valid, i.e. that it corresponds to the real mailing address and is complete.

You should not abbreviate words in addresses, and the names of the streets are never translated. They are just transcribed in Latin letters. For example, Gorkogo Street , Krasnoarmeiskaya street . Instead of the word "Street" there can be such words used as "Avenue", "Square", "Lane", "Promenade", etc.

The names of the states can be abbreviated if such abbreviations are approved internationally (e.g. MO Missouri ). When you used such abbreviations, all letters should be capitalized.

It is always good to find out the name of the person in a company you are writing to. It helps to establish a contact.
